Cancellation and Refund Policy for Online Subscription Purchases

1. Scope of this Policy

This Cancellation and Refund Policy (“Policy”) applies only to online purchases of services provided by Polt House, Inc. (“Polt House”, “we”, “us”, or “our”) made directly on polthouse.com using a credit card or other accepted online payment methods.

If you have a separate written agreement with Polt House, Inc. (for example, an enterprise agreement, order form, or master services agreement), the cancellation and refund terms in that agreement will apply instead of this Policy. In such cases, this Policy does not apply.


2. Subscription Cancellation

2.1. You may cancel your subscription to Polt House services at any time by logging into your user account on polthouse.com and using the dedicated cancellation option (for example, the “Cancel subscription” button or cancellation form).

2.2. To ensure your cancellation request is received and processed, you must:

  • be logged into your Polt House account; and

  • provide all required information in the cancellation form accurately and completely.

2.3. Once a valid cancellation request is submitted, cancellation will take effect:

  • for prepaid or fixed-term (e.g., annual) subscriptions – at the end of the already paid billing period; and

  • for free trial subscriptions – as of the time we process your cancellation, which will generally be within 3 business days of receipt of your request.

2.4. Cancelling your subscription does not relieve you of any payment obligations already incurred prior to the effective date of cancellation, unless expressly stated otherwise in this Policy or required by applicable law.


3. Free Trial Period

If you start a subscription with a free trial, the trial period lasts for 3 days (“Trial Period”) from the moment of activation, unless otherwise stated at sign-up.

At the end of the Trial Period, your first payment will be charged automatically using the payment method provided at sign-up, unless you cancel your subscription before the Trial Period ends.

To avoid being charged after the Trial Period, you must cancel your subscription in accordance with Section 2 of this Policy before the Trial Period expires.


4. Refunds

4.1. Subject to the terms of this Policy, Polt House offers a one-time, 7-day money-back guarantee for certain subscription purchases, limited to:

  • initial subscription purchases where the committed subscription term is twelve (12) months or longer; and

  • initial purchases of add-on licenses or features that are incremental to your existing subscription.

4.2. Refunds under this Policy are available only to customers who purchased directly from polthouse.com.

4.3. For clarity, refunds are not available for month-to-month subscriptions or for any renewal payments, except where required by applicable law.

4.4. To be eligible for a refund under the money-back guarantee, you must submit a written refund request within 7 calendar days of:

  • the date of your initial annual (or 12+ month) subscription purchase, or

  • the date of your initial qualifying add-on license purchase.

4.5. Except as expressly described in this Section, if you cancel a subscription during an existing subscription term but do not request a refund in accordance with this Policy, you are not entitled to a refund of prepaid or committed amounts for that term, but you may continue to use the service until the end of the prepaid period.


5. How to Request a Refund

5.1. If you are cancelling your subscription via your account on polthouse.com and wish to request a refund, you must explicitly state your refund request in the relevant form or message field (for example, an “Additional comments” or “Reason for cancellation” field), or submit a separate refund request as described below.

5.2. Refund requests may alternatively be submitted by contacting our support team via email at: poltavetskyrylo@gmail.com.

5.3. To process your refund request, we may ask you to provide the following information:

  • a short statement confirming that you are requesting a refund and explaining why you would like to cancel;

  • your billing information (name, transaction ID, and date of purchase);

  • the last four (4) digits of the payment card used for the purchase (if applicable and permitted by law);

  • the email address associated with your Polt House account and, if applicable, your login name; and

  • any other information reasonably required to verify your identity and the transaction.

5.4. Failure to provide requested information in a timely manner (i.e., within 7 calendar days following our request for additional details) may result in the denial of your refund request.


6. Timing and Method of Refunds

6.1. If your refund request is properly submitted within the applicable 7-day period and complies with this Policy, we will process a refund of your eligible prepaid fees within 30 calendar days of receiving your complete refund request and any additional information we reasonably require.

6.2. Refunds will be processed using the same payment method used for the original transaction, unless otherwise required by law or agreed with you.

6.3. Any bank fees, payment processor charges, currency conversion fees, or other charges imposed by your bank or payment provider in connection with the refund are your sole responsibility.

6.4. We reserve the right to deny refund requests that do not comply with this Policy, our Terms of Service, or applicable law.


7. Additional Terms

7.1. If you do not submit your cancellation and/or refund request in accordance with the processes and time limits outlined in this Policy, your request may be denied.

7.2. Polt House, Inc. may update or modify this Policy from time to time. The most current version will always be available on polthouse.com.
